Import Documents · E705

Your E705 got rejected. Here's what that actually means.

You bought a car in the EU, filed the E705, and it came back refused, or DIV won't move the file forward. It feels like the whole import is stuck. In almost every case it isn't: it's a data problem, not a legal dead end.

What the E705 actually does

The E705 is the form your regional hulpkantoor (the local office of FOD Financiën, Douane en Accijnzen) issues to confirm the fiscal and technical details of a vehicle brought in from another EU country: first-use date, mileage, VIN, and BTW status. DIV will not put plates on the car until the hulpkantoor's data lines up exactly with what's on your paperwork. When it doesn't, the file gets refused or simply parked, often with no clear explanation of what to fix.

The most common reasons we see

Real case

Correct file, wrong numbers

An EU-plated car imported from Spain had its E705 validated, but the first-use date on the form was five years off and the mileage was entered tens of thousands of kilometres too high. DIV blocked the plates because the numbers didn't match the foreign registration certificate. The fix wasn't a new import, it was a correction email to the specific hulpkantoor that issued the file, referencing the E705 number directly. It was resolved in days.

Real case

Missing paperwork from a previous owner

A German-sourced car couldn't get its E705 validated because the hulpkantoor wanted the original foreign registration certificate, and the version on file was incomplete. Without it, the office had nothing to check the vehicle's history against, and the file sat untouched.

Other causes we regularly plan for, even when a client hasn't hit them yet:

  • A VIN typo between the sales invoice and the E705 form itself
  • A purchase invoice that's missing, incomplete, or doesn't match the seller on record
  • The car deregistered abroad before the E705 was requested, leaving customs nothing to verify against
  • The vehicle registered in a different name than the person filing, with no volmacht on file
  • The wrong VAT regime declared: margin scheme goods filed as normal regime, or the other way around

What to actually do about it

  • Get the exact rejection reason in writing, "rejected" on its own tells you nothing
  • Confirm which hulpkantoor is holding the file, it varies by port and region (Gent, Antwerp, and others each handle their own queue)
  • Send the correction or missing document directly, referencing the E705 file number in the subject line
  • Follow up yourself rather than waiting, these queues move faster with a direct nudge than a silent resubmission

When it's more than a typo

If the previous owner won't send the original documents, or the car was deregistered too early, the fix takes more than one email. It usually means requesting a duplicate from the issuing country's authority, or working through an alternative verification route with the hulpkantoor. This is where having someone who does this every week matters more than the size of the mistake.

Common questions
Once the hulpkantoor has the right document or the corrected number, we typically see these resolved within days. It depends on the office and the season, some queues move slower around holidays.
Often, yes. The main thing is knowing which hulpkantoor holds your file and giving them exactly what they need in the first message, instead of a back-and-forth that drags the file out for weeks.
You can usually request a duplicate from the country's registration authority directly, or the hulpkantoor may accept an alternative form of proof. This is one of the situations where a broker's contacts save real time.
